Step 1

Open Samsung Mail

Find the Samsung Mail app on your home screen or in your app drawer. It looks like a blue envelope icon labelled "Email".

If you can't find it, swipe up from your home screen to open the App Drawer and search for "Email" or "Samsung Mail".

If Samsung Mail is not installed, download it for free from the Galaxy Store — search for "Samsung Email".

Step 2

Tap "Other" to Add Your Account

When Samsung Mail opens for the first time (or when adding a new account), you'll see a list of account types. Do not choose Microsoft 365 or Google — those are for different email services.

Scroll down and tap "Other" — this is the option for custom business email accounts like yours.

If you already have another account set up, go to Menu → Settings → Add Account and then select "Other".

Step 3

Enter Your Email & Password

You'll see a simple form asking for your details. Fill in the following:

Email address: Type your full email address, e.g. yourname@yourdomain.co.za

Password: Enter the password that was provided by your web host.

Once both fields are filled in, tap Next to continue.

Make sure there are no extra spaces before or after your email address. This is a common reason setup fails.

Account type
What type of account is this?
IMAP
Syncs across all your devices. Emails stay on the server.
POP3
Downloads emails to this device only.
Step 4

Select "IMAP" as the Account Type

Samsung Mail will ask you what kind of account you want to set up. You will see two options: IMAP and POP3.

Always choose IMAP. This keeps your emails synced across all your devices — so if you read an email on your phone, it will also show as read on your computer.

Enter Your Incoming Mail (IMAP) Settings

This screen controls how your phone receives emails. Fill in each field exactly as shown:

IMAP server: mail.yourdomain.co.za
(Replace "yourdomain" with your actual domain name)

Security type: SSL/TLS

Port: 993

Username: Your full email address

Password: Your provided password

Tap Next when all fields are filled in.

The IMAP server address is always mail. followed by your domain name. For example, if your domain is "mybusiness.co.za" then it would be mail.mybusiness.co.za.

Security type: STARTTLS

Port: 587

Require sign-in: Make sure this is turned ON (toggle should be blue)

Username: Your full email address

Password: Your provided password

Tap Next when done.

Port 587 with STARTTLS is the modern, secure way to send email. If your email fails to send later, double-check this port number and that "Require sign-in" is on.

Set Your Account Name & Display Name

Almost done! On this final screen, you can give your account a nickname and set how your name appears when you send emails.

Account name: This is just for your phone — something like "Work Email" or your domain name works great.

Your name: This is what other people see when they receive emails from you, e.g. "John Smith" or "ABC Plumbing".

You can also set how often the app checks for new mail and whether you'd like notifications. Tap Done (or Sign In) to finish.

Step 8 — Final Check

Verify Your Email is Working

Samsung Mail will now try to connect to your email server. If everything is correct, you'll be taken to your Inbox and your emails will start appearing.

To confirm everything works, send a test email to yourself from your computer, then check if it arrives on your phone. Also try replying from your phone to confirm sending works.

If setup fails, double-check that the server name is spelled correctly (no www, no https) and that the port numbers are exactly 993 for IMAP and 587 for SMTP.

You're All Set!

Your business email is now connected to Samsung Mail on your Android phone. You can send and receive emails on the go, and everything will stay in sync with your computer. Contact Experience IT if you run into any issues — call 078 247 2221 or email support@experience-it.co.za
