Follow this simple guide to add your business email to the built-in Mail app on your iPhone or iPad. No technical experience required.
Unlike Android, on iPhone you add email accounts through the Settings app β not through the Mail app itself.
Find the grey Settings icon (βοΈ) on your home screen and tap it. It's usually on the first page of apps or in the dock at the bottom.
Inside Settings, scroll down until you see the section with your apps. Find Mail (with the blue envelope icon) and tap it.
You may need to scroll quite a bit β it's usually found below the main iOS settings like Notifications and Sounds.
At the top of the Mail settings screen, you'll see an Accounts option. Tap it to manage your email accounts.
This is where all your email accounts are listed, and where you can add a new one.
On the Accounts screen, you'll see any accounts already set up, followed by an Add Account button in blue. Tap it.
If you have no accounts yet, you'll be taken directly to the account type selection screen.
iPhone will show you a list of popular email providers: Google, Exchange, iCloud, and others. Do not choose any of these.
Scroll to the bottom and tap "Other" β this is the correct option for your custom business email with IMAP settings.
You'll see a form with four fields. Fill them in as follows:
Name: Your full name as you'd like it to appear on outgoing emails (e.g. "John Smith")
Email: Your full email address, e.g. john@yourdomain.co.za
Password: The password provided by your web host
Description: A label for this account, e.g. "Work Email"
Tap Next in the top-right corner.
This screen has two sections β Incoming Mail Server (IMAP) and Outgoing Mail Server (SMTP). Make sure the IMAP tab is selected at the top.
Fill in both sections identically:
Host Name: mail.yourdomain.co.za
Username: Your full email address
Password: Your provided password
Tap Next β iOS will verify the connection automatically.
If iOS takes you to an Advanced settings screen, or if you need to verify the ports manually, check that the following values are set:
Incoming (IMAP): Use SSL = ON | Port = 993
Outgoing (SMTP): Use SSL = ON | Port = 587
Authentication should be set to Password for both.
iOS will verify your credentials and connect to the mail server. Once verified, you'll see a confirmation screen asking which data to sync (Mail, Notes, etc.).
Make sure Mail is toggled ON, then tap Save in the top-right corner.
Your business email will now appear in the Mail app. Open it and send yourself a test message to confirm everything is working.
